AI tool integration poses risks to sensitive mailbox data

The integration of AI tools into corporate environments presents significant data security risks, particularly regarding mailbox access. When employees grant AI assistants access to platforms like Outlook or Gmail via OAuth consent screens, they often inadvertently provide broad permissions. These permissions can range from reading a single folder to accessing entire mailboxes, including sent items, drafts, and attachments, which may contain sensitive legal, HR, or financial data.

Security teams face the challenge of balancing AI adoption with data protection. Attempting to block all AI usage can lead to ‘shadow AI,’ where employees use unvetted tools without organizational oversight. Effective management requires visibility into what sensitive data exists and where AI tools can reach it, rather than simply implementing restrictive policies that bypass visibility.
