Caribbean hotels face operational pressure to upgrade management technology

Independent hotels in the Caribbean are facing increasing pressure to upgrade their property management systems (PMS) as operational complexities grow. While these systems rarely fail abruptly, many properties are outgrowing their current technology through gradual inefficiencies.

Key indicators that a PMS is no longer sufficient include a heavy reliance on manual spreadsheets, the use of employee workarounds, and disconnected systems that require manual follow-ups. In the Caribbean specifically, shifting source markets—with North American demand now rivaling traditional UK and European bases—and changing booking behaviors are complicating operations.

Other significant challenges include persistent labor pressures, complex resort management, and the logistical realities of operating in storm-prone regions. One major symptom of outdated technology is the front desk becoming a bottleneck during wave arrivals, where large groups of guests arrive simultaneously, often with incomplete profile information from third-party booking channels.
