Communication strategies for first impressions and conflict management

Effective communication in social and professional settings relies heavily on both verbal choices and physical presence. In initial encounters, certain behaviors can immediately damage a first impression, such as complaining about inconveniences, interrupting others, mixing formal and informal language, or using overly familiar terms too early. To build rapport, it is recommended to listen fully before responding, use active listening cues like nodding, and maintain a conversational balance by asking questions.

In high-tension professional scenarios, such as handling customer complaints, body language plays a critical role in de-escalating conflict. While an open chest posture conveys confidence and leadership, adopting a closed posture—tilting the chest downward—can signal empathy and a willingness to listen. Using this “low status” posture during a complaint can make an individual appear more apologetic and attentive, helping to calm an angry client before transitioning back to a more assertive, open posture to propose solutions.
