Microsoft 365 Backup Gaps and Migration Data‑Loss Risks Highlighted
Microsoft does not automatically back up Microsoft Teams, Planner, or Power Platform workloads. While the service guarantees availability, restoring data from these applications remains the customer’s responsibility. Default retention for Power Platform environment backups is seven days (extendable to 28 days in production Managed Environments), and restores cannot be applied directly to a production deployment, requiring a sandbox conversion. Protecting these workloads also demands coordinated coverage of Dataverse, SharePoint Online and Exchange Online, as the ecosystem is fragmented.
Data migrations to Microsoft 365 often hide loss risks that surface weeks after a project closes. Common omissions include undocumented shared mailboxes, forgotten SharePoint sites, lingering OneDrive accounts, and calendar entries with missing permissions. Hybrid or staged migrations create synchronization gaps where edits in parallel environments lead to version conflicts that migration tools resolve silently. Migrating from third‑party platforms such as Google Workspace or Lotus Notes introduces structural mismatches that frequently require manual validation.
