Microsoft Teams introduces automated blocking for meeting bots

Microsoft is introducing new administrative controls for Microsoft Teams to combat the unauthorized use of meeting bots, such as automated AI notetakers and transcription tools. The update addresses concerns regarding “shadow AI,” where third-party tools may be used to capture sensitive meeting content without explicit IT oversight.

Administrators can now utilize a new “BlockDetectedBots” mode. This option allows IT teams to automatically deny entry to identified external bots, bypassing the lobby and removing the need for manual organizer approval. This is an upgrade from previous settings that either required manual approval via a lobby or allowed all bots to join.

Microsoft’s Bot Identification Program already works with vendors like Otter.ai, Read AI, Recall.ai, and Maestro Labs to provide identification markers. While the new policy provides a decisive way to block suspected threats, Microsoft notes that allowing permitted bots can still move meeting content outside an organization’s governance boundary. The update is designed to help organizations manage the risks associated with external advisers or employees using third-party recording services during confidential discussions.
