Poland to implement major civil document and identity reforms in 2026

The Polish Ministry of Interior and Administration is preparing a major package of regulatory changes regarding civil affairs, set to take effect on December 1, 2026. The reforms aim to simplify formalities and modernize administrative procedures for identity documents, passports, and civil status registration.

Key updates for identity cards include an extended validity period for citizens over the age of 70 to reduce the need for frequent renewals. Additionally, citizens will be able to collect completed identity cards at any municipal office, regardless of where the application was submitted. Reporting lost or damaged documents will also become more flexible, allowing reports to be made at municipal offices, Border Guard posts, or through consulates.

Regarding civil status records, the new regulations will make the use of placeholder data for fathers in birth certificates voluntary rather than mandatory. This change is intended to reduce unnecessary costs and complexities, such as the need for sworn translations of certificates abroad. The reforms also include provisions for easier access to documentation for immediate family members and improved procedures for handling data leaks or errors made by officials.
