Zapier report identifies top business automation use cases

An analysis of over 20 million live workflows across 4,302 business applications reveals the primary use cases for business automation in 2026. Zapier identified 858,648 distinct automation patterns, finding that the most prevalent task is lead capture, which accounts for 29.9% of all automated patterns.

Other major automation functions include sending notifications (19.2%), creating new records (17.6%), and updating existing records (14.4%). Combined, these four tasks represent 81.1% of the automated work in the dataset. The data suggests that automation is primarily used for reactive tasks such as catching information, notifying personnel, and maintaining data accuracy across systems.

When grouped into specific job roles, lead capture and management is the largest category. Most automation is triggered by specific events rather than schedules; approximately 25.4% of patterns are triggered by data changes and 22.2% by form submissions, while only 7.8% are scheduled to run on a clock.
