Poland to implement mandatory KSeF e-invoicing system

Poland is implementing the National e-Invoicing System (KSeF), a mandatory state platform for issuing and receiving invoices via structured XML files. The rollout follows a phased timeline: large taxpayers with sales exceeding 200 million PLN in 2024 must comply by February 1, 2026, followed by all other companies on April 1, 2026. The smallest entities will be required to join by January 1, 2027.

For businesses, particularly in the transport and logistics sectors, KSeF marks a shift from PDF-based email invoicing to a system where an invoice is only legally valid once it has been processed by the Ministry of Finance system and assigned a KSeF number. While companies can still provide clients with PDFs or printed copies, these must include a QR code and the KSeF number for verification purposes.

Beyond compliance, the transition highlights the broader trend of digitalizing document workflows. Implementing electronic document management systems can automate approval processes, reduce manual errors, and integrate with existing ERP and accounting software to improve financial control and support remote work environments.
