Poland's KSeF e‑Invoice System to Add Business Event Tags, Impacting Freelancers

The Ministry of Finance’s National e‑Invoice system (KSeF) is set to expand beyond simple VAT invoices by incorporating classifications of the business events linked to each document. Proposed tags such as “to be booked”, “requires clarification”, or “excluded from settlement” would indicate the payment status and other details of transactions. Experts note that while the added data could improve transparency and processing efficiency, it also raises concerns about undue scrutiny of company information.

The change coincides with a growing pressure on freelancers who, although not required to use KSeF directly, must increasingly coordinate with clients that operate fully digital invoicing workflows. Freelancehunt data show that most freelancers work with small‑to‑medium enterprises, and nearly 40% of projects exceed 5,000 zł, making invoice handling a key factor in winning contracts. Valentyn Ziuzin of Freelancehunt warned that “the easiest way to lose a contract is not lack of skill but lack of a clear answer on how we will settle it,” and Oleg Topchiy added that predictability in payments is becoming a third competitive criterion alongside speed and flexibility.
