To address these drains on productivity, experts and organizations are focusing on both structural and technological solutions. Organizational strategies emphasize distinguishing between synchronous and asynchronous communication, ensuring technical data is shared beforehand so live time is reserved for decision-making and resource allocation. Effective meetings are characterized by clearly defined objectives and the assignment of a ‘Directly Responsible Individual’ (DRI) for all action items.

Technological advancements are also playing a role, specifically through AI-driven hardware. New compact AI gadgets designed to attach to smartphones can automate administrative tasks by transforming spoken discussions into editable slides, email drafts, or detailed action plans, thereby reducing the mental load on participants.
